Understanding your credits
and extra usage
Your Komunzy plan includes a generous monthly credit bundle — enough to cover the core workflows of most education operators. This page explains exactly how messaging is measured, what's free, what's charged, and what it costs when you go beyond your plan.

Three things worth understanding before looking at prices
Before the numbers make sense, here are the three concepts that come up most often. Take two minutes to read these — they'll answer most questions about your bill.
What is an SMS "segment"?
When you send an SMS, your message is split into segments by the mobile network — not by Komunzy. A standard SMS can hold up to 160 characters. If your message is shorter than 160 characters, it counts as one segment. If it's longer, it counts as two or more.
Komunzy charges per segment, because that is how the mobile carrier charges us. A segment is simply a 160-character block of your message.
Example: A longer message at 220 characters → 2 segments = A$0.240HK$1.686S$0.240
What is a "WhatsApp Usage"?
WhatsApp charges per message sent — not per segment or per character. One message = one WhatsApp Usage, regardless of length. You could write one line or ten lines and it still counts as one usage.
Unlike SMS, WhatsApp messages are not split into segments. However, not all WhatsApp messages cost the same — the price depends on what type of message it is. See the next section for the three types.
The 24-hour free reply window
WhatsApp has a built-in rule: if a client (or student) sends you a message first, you have a 24-hour window to reply — and any reply you send within that window is completely free. This is called a "service conversation" by WhatsApp.
This is important because the most common type of WhatsApp communication — a client asking a question, you replying — costs you nothing, as long as you reply within 24 hours. Charges only apply when you initiate a message to a client (like a broadcast campaign or an automated reminder).
Charged: You send a bulk re-enrolment reminder to 50 clients on Monday morning → 50 × marketing or utility rate
The three types of WhatsApp message — and why they're priced differently
WhatsApp divides outbound messages into three categories depending on why you're sending them. The category determines the rate. Here's what each one means in plain English.
Service messages
Any reply you send within 24 hours of a client or student messaging you first. WhatsApp calls this a "service window."
These messages require no pre-approved template. You can write freely, attach files, and have a full conversation at no cost.
- Replying to a client's question about class times
- Answering "is there still a spot available?"
- Following up on a message you received today
- Any inbound conversation reply within 24 hrs
Marketing messages
Messages you initiate that promote your services, encourage an action, or run a campaign. These must use a pre-approved template (Komunzy handles the approval process).
These have the highest rate because WhatsApp classifies them as commercial outreach.
- Re-enrolment broadcast at the start of each term
- New programme announcement to your contact list
- Trial class promotion to a list of cold leads
- Holiday special offer to past students
Utility messages
Automated messages that relate to an existing booking or transaction — confirmations, reminders, receipts. These are also template-based but attract a much lower rate because they're functional, not promotional.
This is the most common type of automated message in Komunzy workflows — and the most cost-efficient.
- Trial booking confirmation sent automatically
- Class reminder 24 hours before a session
- Payment receipt after a deposit is paid
- Enrolment confirmation at the start of term
Exactly when a charge applies — and when it doesn't
A charge only applies when you exceed your plan's included credits. Here's a clear flow of how it works.
Your plan includes a monthly credit bundle Covered by plan
Every plan comes with a set amount of emails, SMS messages, and WhatsApp messages included in your monthly fee. These are replenished on your billing date each month. Using credits within your bundle costs nothing extra.
You send a message — from your bundle No extra charge
While you have credits remaining, every SMS sent, every WhatsApp automation fired, every email campaign delivered — all deducted from your bundle at no additional cost.
Your bundle runs low — you're notified No charge yet
Komunzy sends you a notification when your credits approach their limit. Nothing stops working at this point. You can top up your wallet manually, or if auto-recharge is on, it recharges automatically so your automations continue without interruption.
You go beyond your bundle — extra credits used Charged from wallet
Messages beyond your plan's included bundle are charged at the rates shown in the table below. These charges are drawn from your pre-paid credit wallet — not billed separately. You top up your wallet in advance and control exactly how much you load.
New month — bundle resets Back to zero cost
On your billing date, your included credit bundle resets to the full amount. Any unused credits from the previous month do not carry over. Wallet balance carries over indefinitely until used.
How the pre-paid wallet works
Your wallet is a simple prepaid balance — like a stored credit. You are always in control.
Load your wallet
Add any amount to your wallet from your account settings. Minimum top-up is A$10HK$50S$10US$10. Your wallet balance never expires.
Extra usage is deducted
When you exceed your plan bundle, extra messages are deducted from your wallet at the rates below. Nothing is billed to your card unless you choose to top up.
Set auto-recharge (optional)
Enable auto-recharge to top up automatically when your balance drops below a threshold you set. This keeps automations running without manual top-ups.
